1. What information do we collect about you and why?

We collect information about you when you engage us for Insurance advice and related services. This information will relate to your personal and financial circumstances. We will ask questions relevant for the purposes of obtaining insurance quotations for you, providing advice, placing insurance on your behalf and all matters relating to your insurances, including the making of claims. This may result in a credit check to confirm your identity and minimise the risk of fraud.

Personal and sensitive information that we might collect includes name; date of birth; address; job title; IP addresses; company name; health and medical conditions; convictions; financial history and payment information; information about the risk/subject matter to be insured including values or sums to be insured.

We also collect information when you voluntarily complete customer surveys, provide feedback and participate in competitions. Website usage information is collected using cookies.

Processing is necessary for the performance of a contract to which you are party or in order to take steps at your request prior to entering into a contract, or where your employer or another individual or organisation effects an insurance policy for your benefit. Processing special categories of data (health, medical conditions, convictions) is necessary for insurance purposes.

You are not obligated to provide your personal information to Pavey Group, however, as this information is required for us to provide you with our services, we will not be able to offer some or all of our services without it.

We might collect your personal data from you; your family members, employer or representative; other insurance market participants; credit reference agencies; anti-fraud databases, sanctions lists, court judgements and other databases; in the event of a claim, third parties including the other party to the claim (claimant/defendant), witnesses, experts (including medical experts), loss adjustors, solicitors and claims handlers.

 

2. How we will use your personal information

Personal information, which you supply to us, may be used in a number of ways, for example:

  • To provide you with an insurance quotation, arrange and administer insurance on your behalf, invite renewal of your insurance, collect payment, assist you with making a claim or deal with a complaint.
  • Send you information, documentation and email alerts relevant to the services we provide.
  • Invite you to complete a customer satisfaction survey, enter a competition or attend a Pavey Group seminar
  • Track the use of the Pavey Group websites.
  • Track email readership.
  • For audit, quality monitoring, training, compliance and security purposes.
  • For fraud prevention.
  • For statistical analysis.

 

3. How long we keep your personal information

We only keep personal information for as long as is reasonably necessary to fulfil the relevant purposes described in this privacy notice. In particular, for so long as there is any possibility that either you or we may wish to bring a legal claim, or where we are required to keep your personal data due to legal or regulatory reasons.

If we provide you with a quotation and you decide not to proceed with the insurance cover, where we have obtained your consent, we will keep your details so that we may contact you in a year’s time to offer you our services.

4. How we protect your personal information

Pavey Group is committed to keeping your information secure. All information is kept in a secure server. We also have appropriate security measures in place in our physical facilities.

While we strive to protect your information, due to the nature of the internet we cannot guarantee the security of any information you transmit to us. With this in mind, any transmission is at your own risk and we urge you to take every precaution to protect your information while you are online.

 

5. Marketing

We will send you details of our products and services, through the marketing channels you have agreed to. This could be by post, telephone, email and SMS.

Pavey Group is committed to only sending you marketing communications that you have clearly expressed an interest in receiving; we will send you information we believe to be relevant and beneficial to you.

If you wish to unsubscribe from emails sent by Pavey Group or Mole Insurance Services, you may do so at any time by clicking on the ‘unsubscribe’ link that appears in all emails.

6. Who we share your information with.

We use Insurer and third party companies to help us provide products and services. These companies will only use your personal data under our strict instruction and are under an obligation to ensure appropriate security measures are in place.

We will disclose and exchange the information you provide to us for the purposes of obtaining insurance quotations for you, placing insurance on your behalf and all matters relating to your insurances, including the making of claims and complaints.

Some Insurers and third party companies operate call centres outside of the European Economic Area (EEA). Their data transfers would always be made in compliance with the General Data Protection Rules.

In the unlikely event that we transfer your information outside the EEA we will ensure that an adequate level of protection is in place to protect your information.

Information provided by you may be put onto a register of claims and shared with other insurers to prevent fraudulent claims.

We may share such information with our own insurers and professional advisors on terms that preserve confidentiality or where we are required by law or by order of the court to disclose such confidential information.

We will not be bound to keep any information confidential, where it is or becomes in the public domain, it was already known to us or becomes known to us independently of you, or if you authorise us to disclose such information.

We will treat all information in strict accordance with the General Data Protection Rules (GDPR), even when you are no longer a customer and only share information if we are required to do so by law, or regulation.

If you have given us your consent, we shall pass your personal information to our Financial Services Company so that they may offer you their products and services.

You may object, change or limit your consent at any time e.g. the way in which we communicate our products and services, please contact us.

We will not share or sell your information for marketing purposes with companies outside of our group, other than customers of Mole Insurance Services where we may share client contact and membership details with Mole Valley Farmers Limited.

 

7. Profiling and Automatic Decision Making

When calculating insurance premiums, Insurer and third party companies may compare your personal data against industry averages. Your personal data may also be used to create the industry averages going forwards. This is known as profiling and is used to ensure premiums reflect risk.

Profiling may also be used by Insurer and third party companies, to assess information you provide to understand fraud patterns.

Some Insurer and third party companies might make decisions based on profiling and without staff intervention, known as automatic decision making and will provide details within their information notices.

We do not use your personal data in respect of profiling or automatic decision making.

 

8. Access to your information and your rights to rectification, erasure, object to processing, data portability and right to complain

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please contact us.

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.

You have the right to have personal data erased and to prevent processing in specific circumstances however, there are some specific circumstances where the right to erasure does not apply and we can refuse to deal with a request. If you wish to make such a request, please contact us.

You have the right to object to:

  • processing based on legitimate interests or the performance of a task in the public interest/exercise of official authority (including profiling);
  • direct marketing (including profiling); and
  • processing for purposes of scientific/historical research and statistics.

You have the right to data portability. This allows individuals to obtain and reuse their personal data for their own purposes across different services. Your right to data portability only applies:

  • when processing is carried out by automated means.

The right of portability only covers information you have given us and does not extend to data we generate about you.
